Wedding Planning Checklist for a South African Winelands Wedding
A month-by-month checklist for a South African Winelands wedding, from booking the venue and marriage officer to the final week.
Last checked: 5 October 2026
A Winelands wedding has a few extra moving parts: popular venues that book far ahead, a designated marriage officer, weather plans, guest transport on rural roads and, for many couples, guests or documents coming from overseas. This month-by-month checklist puts everything in order, from the first budget conversation to the final week. Use it as a starting point and adjust it to your own timeline.
How we checked this
Booking lead times come from Cape Town Data's 2026/27 venue guide (an industry estimate). Legal steps come from the Department of Home Affairs (DHA) and the Marriage Act 25 of 1961. Travel and liquor points come from SARS and the Western Cape Liquor Authority. The order of tasks is our planning advice. Links are under Sources.
How to use this checklist
- Work backwards from your date. If you're booking 18 months out, you have breathing room. If you're nine months out, do the 12-month and nine-month tasks together.
- Lock in the scarce things first. Venue, marriage officer and photographer are usually limited to one wedding per day. Décor, stationery and favours can wait.
- Keep everything in writing. Quotes, inclusions, curfews, price years and the marriage officer's document list should all live in one shared folder.
- Share the load. Give each task an owner. A parent, friend or coordinator can chase RSVPs or transport while you focus on decisions only the two of you can make.
- Add buffer for anything official. Legal documents, apostilles and antenuptial contracts depend on other people's processing times, so start them earlier than you think you need to.
12+ months: budget, guest list, venue, marriage officer
Budget and priorities
- [ ] Agree a total budget and who's contributing.
- [ ] Pick your top three priorities (for example venue, food and wine, photography).
- [ ] Read our guide to the cost of a wedding in South Africa for current industry ranges.
- [ ] Decide whether you want a planner, an on-the-day coordinator or neither. See wedding planner vs coordinator in South Africa.
Guest list and date
- [ ] Draft a guest list with an A-list and B-list. Guest numbers drive venue choice and cost.
- [ ] Choose a season. Our guide to the best month to get married in Cape Town compares rain, wind, sunset and pricing.
- [ ] Check public holidays and school holidays for your guests.
Venue
- [ ] Shortlist venues using how to choose a wine farm wedding venue and the best wine farm wedding venues in the Western Cape.
- [ ] Book site visits and take a list of questions: real seated capacity, inclusions, curfew, backup power, rain plan, deposits.
- [ ] Book early for peak dates. Cape Town Data's June 2026 guide says popular venues need 12 to 18 months' notice for a peak-season Saturday, while off-peak dates and weekdays can often be secured within six to nine months. That's an industry estimate.
- [ ] Read the contract before paying the deposit: cancellation terms, price year, VAT and service charges.
Marriage officer
- [ ] Book a designated marriage officer as soon as the date and venue are fixed. See how to find a marriage officer in South Africa.
- [ ] Confirm the ceremony time and place in writing. The Marriage Act says a marriage officer isn't obliged to solemnise a marriage outside 8am to 4pm.
- [ ] If one or both of you is a foreign national, get the document list now; some documents take months.
9 months: suppliers and accommodation blocks
- [ ] Book your photographer (and videographer, if you want one).
- [ ] Book the caterer, if the venue doesn't include catering.
- [ ] Book music: band, DJ, ceremony musicians.
- [ ] Book a florist and stylist, and confirm the venue's décor rules.
- [ ] Reserve accommodation blocks for guests near the venue, and note the release dates for unbooked rooms.
- [ ] Send save-the-dates, especially to overseas guests.
- [ ] Set up a wedding website with travel and accommodation information.
- [ ] Start shopping for wedding outfits; allow time for alterations.
6 months: transport, invitations, legal documents
Transport
- [ ] Plan guest transport: pick-up points, arrival times and at least two return trips.
- [ ] Get written quotes from licensed operators and ask to see operating licences and drivers' professional driving permits. Book enough seats for suppliers who need lifts too.
Invitations
- [ ] Finalise the guest list.
- [ ] Order invitations or set up digital invitations; ask for dietary needs and accommodation on the RSVP.
Legal documents
- [ ] Visit a Home Affairs office for a verification of your status on the National Population Register; DHA asks couples to do this before the marriage is solemnised.
- [ ] If you want an antenuptial contract, see an attorney or notary now. DHA says it must be registered at the Deeds Office before the marriage.
- [ ] Foreign nationals: request no-impediment or marital-status documents and any apostilles. Check how long they stay valid.
- [ ] Check passport validity for anyone travelling.
Other bookings
- [ ] Hair and make-up, with a trial.
- [ ] Cake, if not from the caterer.
- [ ] Rings.
- [ ] If you plan to sell drinks (a cash bar) at a venue that doesn't hold its own liquor licence, note that the Western Cape Liquor Authority says a temporary licence is required for events where liquor will be sold, applied for at least 39 days before the event.
3 months to 1 week: final numbers, timeline, rain plan
Three months
- [ ] Send invitations if you haven't already (earlier for destination weddings).
- [ ] Menu and wine tasting; confirm wine quantities and corkage.
- [ ] Meet your marriage officer to plan the ceremony and vows.
- [ ] Draft the day's timeline around sunset and the venue's curfew. Use our wedding day timeline for South Africa.
Six to four weeks
- [ ] Chase outstanding RSVPs.
- [ ] Finalise the rain and wind plan with the venue: indoor backup, marquee option, decision deadline and decision-maker.
- [ ] Confirm the transport run sheet with the operator.
- [ ] Buy or arrange any legal or ceremony items (rings, vows, readings).
Two weeks
- [ ] Give final numbers and the seating plan to the venue and caterer.
- [ ] Send a timeline and contact sheet to every supplier.
- [ ] Confirm that both witnesses will bring valid ID or passports.
- [ ] Remind overseas guests that SARS requires an online traveller declaration for everyone entering or leaving South Africa since 1 July 2026, submitted no more than 24 hours before departure.
Final week
- [ ] Check the forecast and agree the weather decision time.
- [ ] Pay final balances as per contracts.
- [ ] Pack an emergency kit: safety pins, plasters, sunscreen, painkillers, chargers, umbrellas.
- [ ] Hand over décor, signage and the timeline to your coordinator.
- [ ] Put IDs or passports and any legal documents somewhere you won't forget them.
After the wedding
- [ ] Keep the handwritten marriage certificate (DHA-27) your marriage officer gives you.
- [ ] Apply for an abridged or unabridged certificate once the marriage is registered. DHA's form BI-130 says the unabridged version is mainly for use overseas.
